About iBuyFlowers

Founded in 2016 by Wilfred de Wit — a Dutch lily grower’s son with deep roots in the floral industry — iBuyFlowers is a fast-growing online marketplace revolutionizing how flower professionals source their blooms.

We empower U.S. customers to order the freshest, highest-quality flowers directly from over 100 global farms, 24/7 through our platform. By eliminating the middleman, we guarantee farm-fresh quality, competitive pricing, and reliable service.

As a scale-up, iBuyFlowers operates globally with clients across the U.S., a dedicated IT team in Colombia, and an e-commerce team in the Netherlands.

Role Summary

This is a hands-on role for someone who enjoys creating structure in a fast-moving and entrepreneurial environment.

You will own the operational backbone of our HR function and ensure that payroll, contracts, administration and employee processes run accurately and consistently. You will continuously improve these processes as our organisation grows and becomes more complex.

Alongside this operational responsibility, you will act as a pragmatic adviser to management and help strengthen employee engagement, collaboration and culture across our international organisation.

We are looking for someone who enjoys building and improving, not simply maintaining existing processes. You know which matters you can handle independently and when to involve external payroll providers, employment lawyers or other specialists.

What You'll Do

HR Operations and Administration

Own and continuously improve our day-to-day HR operations across the international organisation.

This includes:

  • Acting as the first point of contact for employees, contractors and managers on HR-related matters
  • Managing the employee lifecycle, from onboarding through development and offboarding
  • Maintaining accurate employee and contractor records
  • Preparing contracts, amendments and other employee documentation
  • Coordinating monthly payroll, salary changes, promotions, bonuses and benefits
  • Working closely with external payroll and employment providers
  • Developing clear and scalable HR processes, policies and documentation
  • Maintaining and improving our employee handbook
  • Identifying opportunities to simplify and automate HR processes, including practical applications of AI

Employment and International Compliance

Help ensure that our employment practices, structures and documentation are appropriate across the countries in which we operate.

This includes:

  • Monitoring relevant Dutch employment legislation and fixed-term employment rules
  • Coordinating compliance with Ecuadorian, Colombian and US employment requirements through local specialists
  • Supporting decisions concerning international employment, EOR and contractor structures
  • Monitoring employee and contractor classification risks
  • Ensuring employee data is handled appropriately and in line with GDPR requirements
  • Identifying legal or compliance risks early and coordinating external advice when needed

Recruitment and Onboarding

Partner with hiring managers to attract and successfully onboard the people needed for our next stage of growth.

This includes:

  • Coordinating vacancies, applications and candidate communication
  • Supporting recruitment across commercial, technical, operational and corporate roles
  • Advising and supporting hiring managers throughout the recruitment process
  • Preparing employment offers and contracts
  • Creating a professional and consistent candidate experience
  • Managing onboarding and ensuring new employees are set up for success
  • Continuously improving our recruitment and onboarding approach

Manager and Employee Support

Act as a pragmatic HR partner to management and help create a consistent and high-performing working environment.

This includes:

  • Advising managers on employee relations and performance matters
  • Supporting performance reviews and performance improvement plans
  • Helping managers set clear expectations and address people issues consistently
  • Supporting practical approaches to employee development
  • Helping management balance business needs, employee interests and legal requirements
  • Constructively challenging managers and existing practices when improvements are needed

Culture and Employee Engagement

Help strengthen an engaged, connected and high-performing culture across our international and distributed team.

This includes:

  • Translating our company values into clear behaviours and everyday people practices
  • Designing and coordinating practical initiatives that strengthen culture, collaboration and employee engagement
  • Creating a consistent employee experience across countries, teams and employment structures
  • Gathering employee feedback and turning relevant insights into practical improvements
  • Supporting internal communication around important people and organisational topics
  • Helping managers create an environment of accountability, trust and continuous development
  • Identifying opportunities to connect our international teams and strengthen a shared sense of purpose

Compensation, Benefits and HR Insights

Support management in developing fair, consistent and cost-effective employment practices.

This includes:

  • Coordinating and reviewing benefits across different countries
  • Supporting salary reviews, promotions and compensation decisions
  • Helping create greater consistency and clarity in compensation practices
  • Maintaining a practical overview of headcount, turnover, recruitment, absence and payroll developments
  • Using relevant HR insights to improve retention, engagement and organisational effectiveness

We are not looking for extensive dashboards or complex HR reporting. The goal is to provide management with the reliable information and practical insights needed to make better people decisions.

What You'll Bring

You bring at least five years of broad HR or People Operations experience, ideally within a scale-up or international organisation.

You have a strong understanding of Dutch employment law and experience with core HR operations such as contracts, payroll coordination, recruitment, onboarding and performance support. You are comfortable working with an international and distributed workforce and confident partnering with management.

You also bring:

  • Experience improving HR processes and systems
  • Strong organisational skills and attention to detail
  • The ability to work independently and manage multiple priorities
  • Excellent written and verbal English communication skills
  • Experience working with external payroll providers and HR specialists
  • Confidence handling sensitive and confidential matters
  • An understanding of how HR practices, leadership and communication influence culture and engagement

Experience with US employment matters, EOR arrangements or Latin American employment structures would be a significant advantage. Dutch language skills are desirable but not essential.

Personal Qualities

We are looking for someone who is:

  • Pragmatic, commercially minded and solution-oriented
  • Proactive, hands-on ownership mindset
  • Highly organised with strong attention to detail
  • Comfortable in fast-changing entrepreneurial environments
  • Able to challenge constructively and think broadly
  • Curious, discreet, and focused on building high-performing international teams

Compensation and Benefits

  •  A part-time position for 24 hours per week
  • Flexibility in how working hours are spread across the week
  • Hybrid working, with regular time at our Amsterdam office
  • Significant autonomy and ownership
  • The opportunity to professionalise and shape the HR function of an international scale-up
  • Direct exposure to management and organisational decision-making
  • A varied role combining operational HR, international people matters and culture development
  • A collaborative and entrepreneurial environment where your ideas can have an immediate impact
